Commercial HVAC Maintenance Checklist for Valley Businesses

What rooftop units, restaurants, clinics, and retail spaces in the Rio Grande Valley need on a maintenance schedule, and why building pressure matters more than tonnage.

Commercial HVAC failures are operations problems, not comfort problems. A restaurant that cannot cool its dining room in July stops seating customers. Retail loses foot traffic within an hour. A clinic has patient comfort obligations and sometimes equipment requirements.

That changes the economics of maintenance. Downtime costs revenue directly, so preventing it is worth more than it is for a homeowner.

Why Valley rooftop equipment has a hard life

Rooftop package units are the most common commercial equipment in the region, and their operating environment here is genuinely severe:

  • Direct sun on a hot roof for eight months of cooling season, with roof surface temperatures far above ambient
  • Heavy dust load, worse near the Pharr bridge corridor, agricultural areas, and active construction
  • Salt bearing air in Cameron County, accelerating corrosion
  • Long run hours, two to three times the national average
  • Out of sight, so problems go unnoticed until they become failures

Equipment that a property manager in a mild climate could largely ignore needs a real schedule here.

Quarterly is the sensible default for most Valley commercial equipment.

The quarterly checklist

Filters

Commercial filters load faster than residential ones because of the air volume moved. Restaurants and warehouses load fastest.

Standardize sizes across units where possible so stocking is simple. Record the loading condition each visit, which tells you whether the interval is right.

Belts and bearings

On belt driven equipment, check belt tension and wear, and note glazing or cracking. Lubricate bearings where fittings exist.

A snapped belt is a total loss of airflow and a same day emergency, and it is entirely predictable from visual inspection.

Condenser coils

Rinse and clear. Rooftop coils in the Valley collect dust rapidly, and a fouled coil raises head pressure, cuts capacity, and runs the compressor hot.

Where salt exposure is a factor, fresh water rinsing several times a year meaningfully extends coil life.

Evaporator coils and drain pans

Inspect for biological growth, which our humidity encourages. Confirm the pan drains properly and is not holding standing water.

Condensate drainage

Rooftop condensate volumes are substantial here. Confirm lines are clear, properly sloped, and actually discharging where they should.

Water staining on ceiling tiles below a rooftop unit is a drainage problem announcing itself, and it will get worse.

Electrical

Capacitors tested under load against rated values, contactors inspected for pitting, amp draw compared against nameplate, connections checked for heat damage and tightened.

Thermal cycling in Valley heat loosens connections over time, and a loose connection generates heat that damages components and occasionally starts fires.

Refrigerant circuit

Pressures with superheat and subcooling. A slow leak on a rooftop unit can go unnoticed for a long time because nobody is standing next to it.

Economizers

Check that dampers move freely, that linkages are intact, and that controls are functioning.

A stuck open economizer pulls hot humid outdoor air into the building while the compressors run flat out. It is invisible from inside the building and it is expensive. Seized economizers are one of the more common findings on neglected rooftop equipment.

Controls and zoning

Verify thermostats, sensors, dampers, and any building management system points. Multi zone systems with failed dampers or drifting sensors produce complaints that get blamed on capacity when the equipment is fine.

Curb and roof penetration condition

Check the curb seal, the condition of the unit's base, and any roof penetrations. Water getting past a failed curb seal becomes a roofing problem rather than an HVAC problem.

The restaurant problem: building pressure

This deserves its own section because it is so frequently misdiagnosed.

Kitchen exhaust hoods move a very large volume of air out of the building. That air has to be replaced. If the makeup air system does not supply enough, the building goes negative.

Symptoms of a negative building:

  • Front doors are hard to open, or slam
  • The dining room feels drafty near the entrance
  • The dining room never cools properly regardless of equipment capacity
  • Cooking odors migrate into the dining area
  • Combustion appliances have draft problems, which is a safety issue

Why more tonnage does not fix it: the building is continuously pulling in hot, humid outdoor air through every door and gap. You are trying to cool outdoor air at an uncontrolled rate. Adding capacity chases a load that keeps growing with it.

The fix is balancing makeup air against exhaust, which is an airflow measurement and design problem rather than an equipment purchase.

If your restaurant has replaced cooling equipment and the dining room still does not cool, this is the first thing to check.

For clinics and medical offices

Additional considerations beyond standard commercial service:

  • Downtime tolerance is low. Scheduled maintenance should be arranged outside patient hours, and the emergency response expectation should be agreed in advance.
  • Air quality expectations are higher. Filtration levels, and in some spaces pressure relationships between rooms, may be specified.
  • Documentation matters. Keep service records per unit, which supports both facility management and any accreditation requirements.

What to expect from your contractor

Per unit reporting. If you have eight rooftop units, you should get findings for each one, not a single summary for the building.

An equipment inventory. Make, model, serial, install date, refrigerant type, tonnage, and which space each unit serves. Many buildings have no accurate record of this, and building it is a one time exercise that pays off permanently.

Written scopes and pricing suitable for justifying spend to an owner or a corporate office.

Scheduling around your operating hours, including nights for restaurants and retail.

Replacement planning. When equipment reaches end of life you should hear about it in a budgeting conversation rather than during a heat wave.

Emergency preparation

Know your equipment before you need to. When you call at 6pm on a Friday with a failed unit, being able to say "Unit 3, a five ton package unit serving the dining room, roughly 2014" gets the right parts on the truck.

Keep the roof accessible. Locked hatches with a missing key waste time on an emergency call.

Know which units serve which spaces. This sounds basic and it is frequently unknown.

Have an after hours contact agreed with your contractor before the emergency, not during it.

Quarterly service for most Valley commercial equipment, more often for restaurants. Rooftop units here take a beating from sun, dust, and run hours, and nearly every failure is predictable from a coil, a belt, a capacitor, or a drain.
