What Is Included in HVAC Maintenance? The Full Checklist

Exactly what a real HVAC tune up covers, what the readings mean, and how to tell whether the technician actually measured anything or just put a sticker on the unit.

HVAC maintenance has a reputation problem, and much of it is deserved. Plenty of companies sell a tune up that consists of a visual glance, a filter change, and a sticker on the unit.

Done properly, maintenance is measurement. It is a technician reading the numbers your system produces and comparing them against what the manufacturer says they should be. That is how a weak capacitor gets caught before it kills a compressor.

Here is the full checklist, what each item is actually for, and how to tell whether you got it.

Airflow and filtration

Filter service

The filter gets replaced or cleaned, and the technician notes how loaded it was. That tells you whether your replacement interval is right. In the Rio Grande Valley, a one inch filter usually needs replacing every 30 to 60 days, which is faster than most packaging suggests.

Static pressure measurement

This is the item most often skipped and one of the most informative.

Static pressure is the resistance the blower is working against, measured across the air handler. Manufacturers specify a maximum, commonly around 0.5 inches of water column for residential equipment. Systems running well above that are being strangled by undersized ducts, a restricted return, or a filter that is too dense for the system.

High static pressure explains a surprising number of complaints: rooms that will not cool, frozen coils, noisy vents, premature blower failures, and high bills. Without measuring it, a technician is guessing.

Blower wheel inspection

A blower wheel caked with dust moves substantially less air than a clean one. This is a gradual, invisible capacity loss.

Electrical

Capacitors tested under load

Not glanced at. Tested with a meter, and the reading compared against the rated value printed on the capacitor.

A capacitor rated at 45 microfarads reading 31 has lost a third of its capacity. The system still runs, so nothing appears wrong, but the compressor is drawing more current and running hotter than it should, and it is heading toward failure.

Heat is what kills capacitors, which in a climate where the outdoor unit sits in 100 degree air for eight months makes them a wear item rather than a lifetime part. This single test is arguably the highest value item on the whole list.

Contactor inspection

The contactor is the electrical switch that starts the outdoor unit. Its contacts pit and burn over thousands of cycles. A badly pitted contactor causes intermittent failures. A stuck one leaves the compressor running continuously.

Amp draw against nameplate

Every motor has a rated amp draw printed on the equipment. Measuring actual draw and comparing it against that number reveals motors that are working harder than they should, which is an early warning of bearing wear or an electrical fault.

Connections checked and tightened

Thermal cycling in extreme heat loosens electrical connections over time. A loose connection produces heat, which produces more looseness, which eventually produces a burned wire or a failed component. Occasionally it produces a fire.

Refrigerant circuit

Pressures with superheat and subcooling

Suction and liquid line pressures alone do not tell you whether the charge is correct. Superheat and subcooling, calculated from those pressures and line temperatures, do.

These numbers indicate whether the system has the right amount of refrigerant and whether it is moving through the system properly. They also point toward where a problem is when one exists.

Temperature split across the coil

Supply air temperature compared against return air temperature. A correctly working system produces a split of roughly 16 to 22 degrees. A smaller split indicates low charge, restricted airflow, or a dirty coil.

What should not happen

Refrigerant should not be added routinely. It is a sealed loop and is not consumed in normal operation. If a system is low, it leaked, and the right response is to find and repair the leak.

A company that tops off your refrigerant at every annual visit is charging you repeatedly for a leak they are not fixing.

Coils

Condenser coil cleaning

The outdoor coil rejects your home's heat into the air. Packed with dust, grass clippings, cottonwood, and lint, it cannot, so head pressure climbs and efficiency drops.

In the Valley this is genuinely a yearly item. Our dust load will noticeably foul a coil in a single season.

Cleaning should be done gently with a coil cleaner and low pressure rinse, working from the inside out. A pressure washer flattens the fins and makes the problem permanent.

Evaporator coil inspection

The indoor coil should be inspected for cleanliness and for biological growth. In our humidity a coil that stays wet and dirty grows film, and every cycle blows air across it into your home. This is the usual source of the musty or dirty sock smell people describe.

Access varies by system. Some coils are easy to inspect, some require removing panels, and some are genuinely difficult to reach.

Condensate system

Drain line flushed and treated

This is the highest value item on the list for a Valley home, and it is also the one homeowners can do themselves.

A residential system here pulls several gallons of water a day out of the air. Algae builds in the drain line, and when it blocks, one of two things happens: the float switch trips and shuts your system down in August, or the pan overflows into your ceiling.

The float switch is the safety that prevents the second outcome. It should be tested, not assumed to work.

Controls and safeties

Thermostat verification

Calibration checked, configuration confirmed correct for the equipment type, and the full sequence of operation observed from a call for cooling through to shutdown.

For heat pumps this includes verifying that auxiliary heat is not engaging when it should not, which is a common and expensive misconfiguration.

Safety switches

High limit switches, pressure switches, and float switches tested rather than presumed functional.

What you should receive

A written report with the actual readings. At minimum:

  • Capacitor microfarad values against rated values
  • Amp draw against nameplate
  • Supply and return temperatures with the split
  • Suction and liquid pressures with superheat and subcooling
  • Static pressure
  • Anything found trending toward failure, with a recommendation

That last item is the real product. A good maintenance visit tells you what is going to fail before it does, so you can schedule the repair instead of reacting to it.

How to tell you got a real tune up

Three quick tests:

Time. A thorough residential cooling tune up takes 60 to 90 minutes. Twenty minutes is a filter change.

Numbers. If you cannot get actual readings when you ask, they were not taken.

Gauges and a meter. If the technician never connected gauges to the system or put a meter on anything, the refrigerant and electrical portions did not happen.

When to schedule

February through early April for cooling. Valley cooling season effectively starts in April, so servicing before then means any problem found gets repaired on a normal schedule rather than during the summer rush.

October or November for heating, mostly to confirm that equipment which has sat idle for eight months still works before a freeze arrives.

The short version

Real maintenance is measurement, not inspection. Ask for the readings. If the numbers exist, you got the service you paid for, and you also got advance warning of whatever is going to fail next.
